    Hoigaard Village Offers a diverse array of stylish apartments and town home rentals.  This unique neighborhood is easily accessible to Highways 62, 100 and 169 along with Interstates 394 and 494, and just a short Uber or car ride from Uptown and Downtown Minneapolis and everywhere in between.


    This position provides direct assistance to the Community Manager and Assistant Community Manager while preforming general administrative tasks and related clerical functions for the Leasing Department.  The Administrative Assistant reports to the Community Manager


     Essential Responsibilities

  • Assist the Community Manger, Assistant Community Manager and Leasing Staff in all functions necessary to effectively operate the community.  
  • Answer incoming phone calls and greet prospective residents while providing quality customer service.
  • Assist with the preparation of pre-move in packages and handouts and assist in preparing and sending out resident showing notices.
  • Maintain prospect, applicant, and resident demographics as well as traffic logs, marketing data, and referral sources.
  • Utilize and maintain accuracy of the Yardi software. Update Yardi with move-in/move-out information, updates, changes and prospect information.
  • Maintain and monitor applicant files and rental activities.
  • Schedule appointments and work closely with the leasing staff to help with overflow of prospects.
  • Assist client move-ins by coordinating new move-in orientations and lease signings.


  • High School Diploma or equivalent required.
  • Able to read, write, spell, perform basic math and speak and understand English.
  • Able to work with frequent interruptions.
  • Commitment to customer service and Fair Housing practices.
  • Knowledge of office practices, procedures, systems and equipment including, but not limited to, Microsoft applications Word, Outlook and Excel.
  • Good interpersonal skills including the ability to communicate clearly and effectively.
  • The ability to self-motivate and work independently with minimal supervision.
  • Commitment to protect personal, property and other confidential information.
  • Possess the ability to interact tactfully with residents, staff, owners, other management personnel, corporate representatives, vendors and the general public.
  • Understand and adhere to organizational policies and procedures.
  • Maintain a neat, well-groomed and professional appearance.

Physical Requirements (based on essential responsibilities)

Must be able to continuously perform tasks such as but not limited to those listed below:

  • Must be able to occasionally push, pull, lift and move up to 20 pounds.
  • Must be able to continuously use hands for moderately difficult manipulative tasks such as typing/keyboarding, writing, filing, telephone work, etc…
  • Must be able to continuously perform tasks requiring action of muscles or groups of muscles such as walking, stooping, etc….to move around office, perform errands, deliver materials to sites, visit sites, etc…
  • Must be able to continuously sit for prolonged periods to perform computer work, file, organize/process paperwork, etc…






The Administrative Assistant works inside a climate-controlled building with a normal temperature range as well as ambulates the community for miscellaneous site duties such as delivering showing notices. 





Must be able to operate:

  • Personal computer, scanner and various printers, photocopy machine, facsimile machine, and calculator.
